Billing, launch and Fair Use
Pricing, capacity and cancellation
Essentials: $25/month or $215.88/year for 25 retained clients; additional slots cost $1/month and are billed monthly even with an annual base. Additions are prorated by days remaining. Active, inactive, archived and recoverable-trash client records count. Freed slots can be reused. Reductions take effect at renewal and must fit retained records; no records are silently deleted.
The $49/month verified offer includes up to 100 clients, with no further annual discount. The quote lasts 30 days and the base rate is protected for 12 months from activation. Cancellation/reactivation does not restart protection. Later price increases require at least 30 days’ notice.
After activation, first-purchase base-plan refunds can be requested within 30 days of usable access. Cancellation otherwise stops renewal while access continues through the paid term. Consumed third-party service refund rules are disclosed before activation.
Fair Use - provisional launch allowances
2,000 unique transactions per purchased slot/subscription year, pooled; 25 slots provide 50,000 and 100 slots provide 200,000. Duplicate imports, edits and split allocations do not count again; new manual entries count. Deletion does not restore processing allowance. No transaction rollover. Midyear slot additions increase the allowance proportionately without restarting the year.
Uploaded files: 20 GB on base Essentials or 50 GB on the volume offer; 25 MB per file. Uploaded sources, attachments and recoverable-trash files count. Structured ledger records, notes, activity history and system backups are excluded from that file quota. Permanent removal can release live storage. Historical imports count; more than three prior years requires review. OCR is optional and separately priced.
Warnings at 80%, 90% and 100%; affected new processing pauses at the limit. Existing review, correction and export remain available. Additional paid capacity requires explicit approval. Changes are prospective with at least 30 days’ notice; protected allowances are not reduced within their original protection period.
Your data and exports
After the paid term ends, 90 days of read-only/export access precedes live account deletion. Notices occur at cancellation, term expiry, 30 days and 7 days before deletion, and completion. An explicitly confirmed owner deletion can end access earlier.
Exports include client/transaction CSV, generated workpaper PDFs where supported, actual source files and attachments, and a separate professional-only notes export. Backups are encrypted, restricted and for disaster recovery; deleted live data may remain until backups expire, with a target maximum 90-day backup retention. Operational feasibility must be verified before these policies become live contractual promises. Billing-record retention is separately disclosed.
Paid referral rewards
Rewards qualify after a distinct new firm pays and completes its first 30-day refund window. No self-referrals. The first referral gives each firm a fixed one-month value of its own base, released across 12 months. $25 monthly base means $25 total; $215.88 annual base means $17.99 total, accumulated for renewal. Optional charges are excluded.
Each subsequent referral gives the new firm one month of its base value; the referrer earns 10% of its actual current base for months when both firms remain paid, within the original 12-calendar-month period. Cancellation does not extend the period. Earned balances and fixed earned rewards are preserved on reactivation; there is no cash payout or negative subscription bill. Annual percentage rewards accrue monthly for renewal. Refunded qualifying payments or fraud reverse associated rewards; no automatic card charge to recover a used reward.
Waitlist attribution is preserved through conversion. Conflicts receive manual review. Waitlist position hops are separate from paid rewards.
